How to handle special orders via selling an item directly from a job.

You might run across the situation where your customer wants to give you some money for an item they want to special orders.  You may create a job for this item via the point of sale and take in the prepayment.  When the item arrives you place that item into the job bag and inform your client its ready for pick up.  This article explains how to do this so that the item which is in the job displays as if it was sold directly from inventory.

  •  Create the job as you normally would from the point of sale and take in your prepayment if the customer is leaving a deposit.  Generally you mark the job as a special order and fill in the estimated price if you know that info as well as any other info you may need.

  • When your special order item arrives and has been received into inventory as you normally would.  After the item is received into inventory you can add into your job.  

  • From the job detail view you can use the Add Materials search to add the special order item to the job. 

  • When adding this to the job set the Provisioned Qty on the job to the qty ordered in this example the client ordered 1 of these so my provisioned qty is 1.

  • Adding this item to the job as a provisioned qty is similar to the legacy feature called sales only component.  This means that the item will be listed on the sale of the job not in it.

  • You must now set the job estimate to 0.00 as the job no longer has any value.  The price will come from the item attached to the job. Of course if your charging a fee you set your job to that amount if needed.

  • To conclude the job utilize the Add Final Route button and note that the job is ready for pickup.

  • When your client comes in to pick up the item open the point of sale.

  • From the Point of Sale interface utilize the Customer button to search and select the customer that is picking up the job.

  • Once the customer is selected you will note a job icon next to the customers name.  You can click this icon which will display the clients jobs. (you can also search for the jobs manually via the jobs button)

  • Select the job the client is picking up. The details of the job will include info on the item that will be sold from stock.

  • Click the plus button to add the job and item to the checkout tray.

  • From the point of sale you will now see the job as well as the ordered item that was placed into the job as well as any prepayments.

  • If needed you can click on the item to set discount and  tax changes on that specific item. Click the Check button to save any changes you made to the item.

  • When ready click the Charge button to make any additional payments you may need and print your receipts.
